JOB GOAL

Responsible for providing specialized training to employees performing bookkeeping activities, while providing ongoing monitoring and support of all finance and internal accounts related areas. Extensive in-county travel is required to perform the essential responsibilities.

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Provide orientation and training to new bookkeepers; and provide periodic training to bookkeepers, administrative school staff, and other district personnel on all finance procedures and software as appropriate to ensure consistency in procedures throughout the District.
  2. Assist bookkeepers by resolving finance and internal account related issues, including issues on internal accounts, monthly financial reports, annual close out procedures, and software related issues.
  3. Prepare and update technical guides and procedures.
  4. Create and distribute information regarding current processes and procedures.
  5. Review and reconcile school general ledger accounts.
  6. Ensure all bookkeeping activities occur in a timely manner.
  7. Prepare schedules and moderately complex reports as needed by schools and departments.
  8. Collect financial and other information from the schools for reporting at the District level.
  9. Provide bookkeeping support to schools and district departments, filling in for employees as needed and ensuring established policies and procedures are followed consistently throughout the District.
  10. Act as a liaison between district departments and schools.
  11. Organize activities and coordinate workflow to meet deadlines.
  12. Inform school administrators of potential problems or unusual events and problem-solve solutions.
  13. Demonstrate initiative in identifying potential problems or opportunities for improvement and take appropriate action.
  14. Provide backup within the department and/or schools as needed.
  15. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Knowledge of financial procedures, policies, and regulations
  • Advanced knowledge of Microsoft Excel, including but not limited to, pivot tables, VLOOKUP’s, and formulas
  • and other financial software programs
  • Ability to maintain confidentiality regarding records, information, and District financial documents
  • Exhibit effective financial and mathematical computation skills
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Operating knowledge of computer programs, including email, word processing, spreadsheets, and databases
  • Excellent time management skills and ability to organize, prioritize, manage, and carry out duties efficiently and within established timeframes
  • Ability to establish and maintain collaborative working relationships with all stakeholders

EDUCATION, TRAINING & EXPERIENCE

  • Associate degree in Accounting, Business, or related field from an accredited institution
  • Two or more years of experience in Accounting, Bookkeeping, Auditing, or related financial activity position
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

PREFERRED QUALIFICATIONS

  • Two or more years of previous experience performing bookkeeping tasks at a school
  • Previous experience in government accounting or similar position
  • Previous experience providing training and/or creating training materials

PHYSICAL REQUIREMENTS

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently. If the use of arm and/or leg controls require exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated as light work.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

General office equipment, including personal computers, fax machines, copiers, telephones, etc.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
