JOB GOAL

Responsible for assisting with the implementation and maintenance of the enrollment process, working collaboratively with all stakeholders in supporting the needs of end users by providing assistance through various modes of communication, and developing and maintaining systems of training and support in the use of application software for all enrollment processes.

ESSENTIAL DUTIES & RESPONSIBILITIES

  1. Monitor enrollment activities to ensure compliance with all applicable District, state, and federal laws and regulations.
  2. Troubleshoot and coordinate the effective resolution of end user requests for support, utilizing technical staff as needed.
  3. Increase end user engagement through the analysis of support documentation and the development of programs, processes, and training.
  4. Oversee the accurate and timely completion of reporting requirements in accordance with District, state, and federal regulations.
  5. Document workflows and application systems procedures for distribution to end users and staff.
  6. Assist with the design and specifications of system implementations.
  7. Travel to sites as directed to train, monitor, and ensure adherence to all enrollment procedures and processes.
  8. Create, maintain, and verify accuracy of various reports and databases as requested.
  9. Gather and prepare documents, materials, and information for data entry and assist in the correction or entering of data, as required.
  10. Provide continuous support of end user daily processing and reporting requirements by coordinating and scheduling required central site processing support.
  11. Participate in formulating new processes and procedures related to the enrollment program.
  12. Contact preparers of source documents to resolve questions, inconsistencies, or missing data.
  13. Maintain compliance with School Board policy at all times.
  14. Maintain required certifications, participate in professional development workshops and in-service training sessions as required, attend required meetings, and keep abreast of current trends, laws, regulations, and statutes.
  15. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Working knowledge of application software
  • Ability to analyze data and use data-driven decision-making to monitor accountability of the enrollment process
  • Knowledge of federal, state, and local rules, regulations, statutes, and policies related to enrollment
  • Operating knowledge of computer programs, including email, word processing, spreadsheets, databases, and web-based technologies and platforms
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Excellent time management skills and ability to organize, prioritize, and manage work assignments in an efficient manner and within established timeframes
  • Ability to establish and maintain collaborative working relationships with all stakeholders
  • Ability to work collaboratively with others and facilitate groups to consensus

EDUCATION, TRAINING & EXPERIENCE

  • Associate degree from an accredited institution in the field of Information Systems, Technology, or related field
  • Two years’ experience in data processing and troubleshooting
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

PREFERRED QUALIFICATIONS

  • Bachelor’s degree from an accredited institution in the field of Information Systems, Technology, or related field
  • Four years’ experience in data processing and troubleshooting
  • Bilingual in Spanish, written and oral fluency

PHYSICAL REQUIREMENTS

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently. If the use of arm and / or leg controls require exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated as Light Work.

While performing the duties of this job, the employee is required to sit, talk, and hear; stand and walk; use hands to finger, handle, or feel; reach with hands and arms. The employee occasionally lifts and/or moves up to 25 pounds. Specific vision ability required by this job includes close vision, distance vision, and the ability to adjust focus.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
