JOB GOAL

Responsible for planning, coordinating, performing, and monitoring advanced, specialized, complex duties related to maintenance of data in the District’s employee data system. This includes supervision of staff, ensuring consistency in day-to day operations, and performing analysis to ensure compliance with district policies and procedures.

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.

 

  1. Serve as team lead for employees responsible for entering and maintaining employee-related data in the District’s employee data system, ensuring accuracy and compliance with district policies and procedures.
  2. Supervise, evaluate, train, and delegate work to appropriate staff; and make recommendations for employment.
  3. Manage data audit processes to ensure data integrity and identify and resolve inefficiencies.
  4. Maximize utilization of software to simplify processes and produce efficiencies.
  5. Work closely with compensation staff to ensure employee pay is calculated and entered correctly according to District policies and contracts.
  6. Oversee verification of accuracy for employee changes/personnel actions, and coordinate preparation and review of related information for Board agenda items.
  7. Coordinate various annual processes, including Layoff/Recall and appointments/non-reappointments of personnel, to oversee process improvements as appropriate.
  8. Provide training related to personnel information processes, ensuring that district and school-based employees responsible for personnel data entry understand and adhere to established processes.
  9. Resolve discrepancies and exceptions on all matters pertaining to personnel processing.
  10. Develop and prepare a variety of reports or queries for ongoing customer needs; and prepare periodic reports for the Department of Labor and other federal and state agencies.
  11. Serve as a liaison to coordinate workflow and procedures between Human Resources and other departments, including payroll, finance, information systems and school-based personnel.
  12. Develop and maintain updated procedure manuals; and make recommendations for process improvements as appropriate.
  13. Update and maintain control records within the District’s employee data system.
  14. Assist with preparation of confidential reports for union negotiations.
  15. Perform other duties as assigned

  • Advanced Excel skills
  • Ability to analyze data to make data-driven decisions
  • Advanced knowledge of computer programs, including email, word processing, spreadsheets, and databases
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Ability to organize, prioritize, manage and carry out duties efficiently and within established timeframes
  • Ability to establish and maintain collaborative working relationships with all stakeholders

EDUCATION, TRAINING & EXPERIENCE

  • Associate degree or equivalent from an accredited Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position/ institution (2 years of college coursework)
  • Three years of related experience
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

  • Bachelor’s degree from an accredited institution

SUPERVISORY RESPONSIBILITY

Direct supervision of assigned personnel. Responsibilities include planning, assigning, and directing work; addressing complaints and resolving problems; training employees; evaluating performance; and interviewing, testing, hiring, and assignment of personnel.

PHYSICAL REQUIREMENTS

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull or move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
