JOB GOAL

Responsible for planning, organizing, coordinating, and monitoring the District’s local, state, and federal grant programs. This includes collaborating with senior leadership, other administrators, teachers, curriculum leaders, and assigned staff to secure grants supporting the district priorities. It also includes direct supervision of assigned staff and overseeing day-to-day operations to ensure compliance with applicable federal, state, and local laws, rules, and regulations.

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Manage and supervise the writing and coordination of applications for state, federal, foundation, and other grants, ensuring compliance with applicable state and federal statutes, regulations and/or guidelines.
  2. Serve as a liaison with senior leadership, department administrators, and school leaders, and provide support with the preparation of available grants to ensure alignment with program requirements, Board policy, applicable laws and regulations, and the District’s strategic goals and objectives.
  3. Research external funding sources and distribute information about appropriate funding opportunities to interested parties.
  4. Ensure that all grant-related documentation is properly maintained and organized for audit purposes, compliance reviews, and future funding opportunities.
  5. Develop and maintain a comprehensive database of grant opportunities, deadlines, and other key information for staff reference.
  6. Monitor the use of grant funds, ensuring expenses are compliant with budget and reporting requirements.
  7. Ensure timely submission of financial reports to funding agencies.
  8. Supervise, evaluate, train and delegate work to appropriate staff; and make recommendations for employment.
  9. Assist with the development and delivery of related training.
  10. Coordinate the provision of technical assistance to all grantees during the life of awarded projects.
  11. Collaborate with internal and external experts and partners to design grant funded projects.
  12. Provide related status reports and projections.
  13. Provide necessary research base for grant projects and determine the reliability and validity of research base.
  14. Assist with preparing and monitoring required federal and state reports.
  15. Monitor and interpret applicable laws, regulations, and policies, and stay abreast of related trends and best practices.
  16. Perform administrative duties such as preparing Board agenda items, preparing paperwork for Superintendent’s signature, and drafting and editing sub-agreements and contracts for attorney review.
  17. Participate in school advisory, business, and community groups and activities; serve on committees and councils; and develop community partnerships to support the District’s vision, mission, goals and strategic priorities.
  18. Respond quickly to emergency situations and serve as a district representative at emergency shelters as determined by the Superintendent.
  19. Respond to inquiries or concerns in a timely manner.
  20. Perform other duties as assigned.

EDUCATION, TRAINING & EXPERIENCE

  • Bachelor's degree from an accredited institution
  • Extensive technical, curriculum, or grant writing experience
  • Three years of progressively responsible experience in grant administration and personnel management
  • Demonstrated success securing large grants and coordinating large grant applications Experience evaluating, designing, and facilitating professional development for adults
  • Extensive experience participating in and leading adults in work groups
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

CERTIFICATES, LICENSES & REGISTRATIONS

  • None

PREFERRED QUALIFICATIONS

  • Master’s degree from an accredited institution and/or valid Florida Educator’s Certificate
  • Five years of progressively responsible experience in grant administration and personnel management
  • Experience working with federal and/or state grants
  • Experience in a school system or public sector leadership role

SUPERVISORY RESPONSIBILITY

Direct supervision of assigned personnel. Responsibilities include planning, assigning, and directing work: addressing complaints and resolving problems; training employees; evaluating performance; and interviewing, testing, hiring, and assignment of personnel.

PHYSICAL REQUIREMENTS

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently. If the use of arm and/or leg controls require exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated as light work.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is required to sit, talk, and hear; stand and walk; use hands to finger, handle, or feel; reach with hands and arms. The employee occasionally lifts and/or moves up to 25 pounds. Specific vision ability required by this job includes close vision, distance vision, and the ability to adjust focus.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
