JOB GOAL

Responsible for the digital conversion, storage, retrieval, printing, and maintenance of records for schools and departments and for the maintenance and repair of scanning equipment in accordance with established policies and procedures.

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Organize, convert, and integrate files for digital conversion or storage and perform quality control inspections on imaged documents.
  2. Operate digital scanning equipment for the conversion of records and documents and assist with inventory of electronic records.
  3. Travel to schools and District locations as directed to assist with all aspects of the record management process, including the maintenance of equipment.
  4. Analyze and troubleshoot technical issues with scanning equipment and applications, and interface with vendors to optimize, repair, and remediate equipment issues.
  5. Install system updates for scanning equipment when required.
  6. Monitor digital conversion and storage activities by maintaining a log of services; compile periodic reports related to these services.
  7. Support schools, departments, and other stakeholders in evaluating records retention schedules and managing the disposal of obsolete, superseded, and administrative value lost records.
  8. Manage and organize a filing system to ensure required documentation and records are maintained and kept confidential.
  9. Fulfill general records requests from departments, agencies, and former students, while ensuring that they are completed accurately, efficiently, and within established deadlines.
  10. Receive and enter requests for the destruction of records and develop, schedule, and implement routing for pickup and destruction.
  11. Attend meetings, trainings, and professional development activities as required, and complete State Records Management Training annually.
  12. Learn and uphold skills necessary to safely operate equipment and ensure that the work environment is kept up to standard with safety guidelines.
  13. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Knowledge of State Records Management retention regulations and schedules
  • Ability to operate digital scanners and other related equipment
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Excellent time management skills and ability to organize, prioritize, and manage work assignments in an efficient manner and within established timeframes
  • Operating knowledge of computer programs, including email, word processing, spreadsheets, databases, and web-based technologies and platforms
  • Ability to establish and maintain collaborative working relationships with all stakeholders

EDUCATION, TRAINING & EXPERIENCE

  • High School Diploma or General Education Degree (GED) from an accredited institution
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position 

CERTIFICATES, LICENSES & REGISTRATIONS

  • Valid and current Florida driver’s license
  • Must maintain a driving record that meets the standards of the District Safe Driver Plan. Driver’s License must be maintained as a condition of continued employment. 

PREFERRED QUALIFICATIONS

  • Associate degree from an accredited institution in the field of Business Administration, or related field
  • Two years’ experience in digital conversion of records

PHYSICAL REQUIREMENTS

Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently and/or up to 10 pounds of force constantly to move objects.

While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, stoop, kneel, crouch, crawl, talk, and hear. The employee occasionally lifts and/or moves up to 50 pounds. Specific vision ability required by this job includes close vision, distance vision, and the ability to adjust focus.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

  • Digital scanning equipment and other general office equipment, including personal computers, fax machines, copiers, telephones, etc.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
