JOB GOAL

Responsible for providing specialized training, monitoring, and support to all staff district-wide performing data entry duties and related actions pertaining to student information, student information systems, and the correlated responsibilities and applicable actions thereof. 

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Supervise, evaluate, train, and delegate work to appropriate staff; and make recommendations for employment. 
  2. Coordinate, organize, oversee, and facilitate the orientation and training of new Data Entry Operators, Registrars, Scheduling staff and applicable job classifications in all areas related to student information systems and procedures, including, but not limited to areas of registration, enrollment, scheduling, attendance, grades, assessments, discipline, transportation, school choice, special programs, and applicable student information thereof. 
  3. Facilitate and/or coordinate periodic training and ongoing support to Data Entry Operators, Registrars, Administrative School Staff, and other district personnel for all student information procedures to ensure accuracy, consistency, alignment, and compliance with district, federal, state, and local guidelines and procedures.
  4. Support all staff maintaining student information by addressing and resolving areas of concern, supervising support and instruction of Data Entry Operators, and assigning required duties to staff necessary to assist and resolve student information related issues. 
  5. Prepare, create, update, organize, and maintain all documentation, technical guides, and procedures related to student information, and ensure easy accessibility to applicable staff. 
  6. Direct, prepare, or update advanced district reports used by applicable staff, instructing on the proper usage for specific areas of concern.
  7. Coordinate meetings and consult with staff of Office for Technology and Information Services for awareness and preparedness of important issues or upcoming events pertaining to student information and related procedures. 
  8. Coordinate, plan, conduct, and facilitate meetings with all departments and stakeholders for pertinent processes regarding student information, ensuring alignment with procedural changes. 
  9. Examine current processes and procedures for inefficiencies and considerations for modernization or consolidation to ease maintenance requirements and provide better user experience and functionality. 
  10. Create, update, and maintain important timelines and events related to student information and school operational activities and deadlines.
  11. Create, maintain, and deploy professional communications on a regular basis and in a timely manner to keep applicable staff alerted and informed about upcoming events, important time-sensitive procedural updates, and current processes and procedures.
  12. Learn, train, and expertly advise on current student information system software functionality, features, and student information data analysis tools. 
  13. Act as a liaison between district departments and schools.
  14. Promptly inform district and school staff of potential issues or unusual events and work to assist with problem-solving.
  15. Demonstrate leadership and initiative by identifying potential problems or opportunities for improvement and taking the appropriate action for resolution. 
  16. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Exhibit effective mathematical computation skills
  • Extensive knowledge of student information and data management, maintenance procedures, policies, and regulations
  • Extensive knowledge and experience with current Student Information System software functionalities, features, and proper usage
  • Ability to create, edit, and publish professional video and audio recordings for training and instructional purposes
  • Ability to understand and maintain confidentiality regarding records, sensitive information, District documents, and systems
  • Ability to speak and present live in an effective manner to small and large groups in professional settings
  • Working knowledge of software systems and workstation hardware configurations 
  • Ability to understand federal, state, and local district reporting requirements, regulations, and procedures
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Advanced operating knowledge of computer programs, including email, word processing, spreadsheets, databases, and web-based technologies and platforms
  • Excellent time management skills and ability to organize, prioritize, and manage work assignments in an efficient manner and within established timeframes
  • Ability to establish and maintain collaborative working relationships with all stakeholders

EDUCATION, TRAINING & EXPERIENCE

  • High School Diploma or General Education Degree (GED) from an accredited institution 
  • Seven years' experience with data reporting requirements

      OR

  • Associate degree from an accredited institution in the field of Computer Science, or related field
  • Five years' experience with data entry and information and technology related services

      OR

  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

PREFERRED QUALIFICATIONS

  • Bachelor's degree from an accredited institution in the field of Information Technology, or related field
  • Two years' experience in a supervisory role
  • Previous experience with creating and maintaining professional documentation 

SUPERVISORY RESPONSIBILITY

Direct supervision of assigned personnel. Responsibilities include planning, assigning, and directing work; addressing complaints and resolving problems; training employees; evaluating performance; and interviewing, testing, hiring, and assignment of personnel. 

PHYSICAL REQUIREMENTS

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated as light work.

While performing the duties of this job, the employee is required to sit, talk, and hear; stand and walk; use hands to finger, handle, or feel; reach with hands and arms. The employee occasionally lifts and/or moves up to 25 pounds. Specific vision ability required by this job includes close vision, distance vision, and the ability to adjust focus. 

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

General office equipment, including personal computers, fax machines, copiers, telephones, etc.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
