JOB GOAL

Responsible for assisting and directing district and school-based staff to provide accurate and timely reporting of student, staff, and financial data to the Florida Department of Education (FLDOE) in accordance with local, state, and federal rules and regulations.

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Supervise district and school-based staff for data accuracy/quality, error resolution, maintenance, and compliance with local, state, and federal regulations and guidelines. 
  2. Identify areas of concern while providing solutions, assigning tasks to team members, addressing complaints and resolving within regulation and policy constraints. 
  3. Facilitate the verification, coordination, and transmission of data as required by the FLDOE for all levels of reporting while establishing efficient processes, schedules, and timelines.
  4. Assist and direct staff in downloading and retrieving required data and reports from local, state, and federal agencies that support district operations and that are required by law.
  5. Analyze data from multiple sources to ensure completeness, accuracy, and conformance to federal, state and district policies and procedures.
  6. Develop annual timeline for data collection to ensure reporting to appropriate agencies and within established reporting windows.
  7. Act as liaison between district, local, state, and federal agencies to ensure that data supplied by the district is compatible and maintained in accordance with required FLDOE database formats.
  8. Maintain an extensive knowledge of all federal, FLDOE, and local district reporting requirements, regulations, and procedures.
  9. Coordinate meetings and activities for the implementation of new/updated federal, state, and local district reporting and processing requirements with all stakeholders.
  10. Assist in overseeing the district’s data security and confidentiality of material maintained by the department.
  11. Create and maintain documentation used for FTE reporting by schools and district departments.
  12. Assist and direct FTE school staff with reporting criteria and overall data integrity issues to ensure compliance with local, state, and federal requirements.
  13. Network with other school districts and educational associations for the development and implementation of new educational practices and processes to improve efficiency and effectiveness of district operations.
  14. Attend technical workshops and in-service trainings as required.
  15. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Working knowledge of federal, FLDOE, and local reporting requirements, regulations, and procedures related to data management and transmission
  • Operating knowledge of software systems and computer programs, including email, word processing, spreadsheets, and databases
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Excellent time management skills and ability to organize, prioritize, manage and carry out duties efficiently and within established timeframes
  • Ability to establish and maintain collaborative working relationships with all stakeholders

EDUCATION, TRAINING & EXPERIENCE

  • High School Diploma or General Education Degree (GED) from an accredited institution 
  • Two years' experience in computer data processing, data entry or related experience 
  • Experience training users on state reporting requirements

  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

PREFERRED QUALIFICATIONS

  • Associate’s Degree from an accredited institution in the field of Information Technology, or related field 
  • Knowledge of the district’s current software for the retrieval of student database information
  • Experience in and knowledge of FLDOE reporting requirements and regulations

SUPERVISORY RESPONSIBILITY

Direct supervision of assigned personnel. Responsibilities include planning, assigning, and directing work; addressing complaints and resolving problems; training employees; evaluating performance; and interviewing, testing, hiring, and assignment of personnel. 

PHYSICAL REQUIREMENTS

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated as light work.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

General office equipment, including personal computers, fax machines, copiers, telephones, etc.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
