Pasco County Schools provides access to public records in accordance with Florida law. Our goal is to help you identify the appropriate process and provide responsive records as efficiently as possible. The information below explains how to submit a request, what to expect, and how to help us locate the records you need. Tips to Help Us Process Your Request
Providing specific information helps the District locate responsive records more efficiently and may reduce processing time and cost.

✓ Describe the event, matter, or subject involved
Broad requests for “any and all records” may result in a large volume of records and require additional time for searching, review, and redaction.
Parents, guardians, and other authorized individuals should contact the student’s school directly.
Request archived student records through Technology and Information Services.
Former students should use the District’s transcript request process.
Third parties requesting student information must provide a completed FERPA Release of Information form or other appropriate authorization.
Employees requesting their own personnel records should contact Human Resources Administrative Support.
A public record is generally an existing document, email, photograph, recording, database entry, or other material made or received by Pasco County Schools in connection with official District business.
Public records are defined more specifically in section 119.011(12), Florida Statutes. Additional information is available in Chapter 119, Florida Statutes, and Florida’s Government-in-the-Sunshine Manual.
Public records requests may be submitted through the Pasco County Schools Public Records Request Form.
Requests may also be made by email, telephone, orally, or in person. You are not required to use a specific form or submit your request in writing. However, a written request is encouraged because it helps the District accurately identify and process the records you are seeking.
Yes. Pasco County Schools will promptly acknowledge receipt of a public records request.
If you do not receive an acknowledgment within a reasonable time, please contact the Legal Department to confirm that your request was received.
Florida law does not establish one deadline that applies to every public records request. The District will acknowledge requests promptly and provide responsive records within a reasonable time.
The response time depends on the scope and volume of the request, where the records are maintained, whether multiple departments must assist, and whether the records require review or redaction before release.

Helpful information includes:

• Relevant names, schools, departments, or employees
• Keywords or search terms
• The type of record requested
• A description of the event, matter, or subject involved
You may request existing public records maintained by the District.
The District is not required to create a new record, report, list, or summary; answer questions; conduct research; interpret records; or explain the content of records.
If existing records are responsive to your request, the District will review and provide them as permitted by law.
Many District records are available for inspection or copying. However, state and federal law require certain information to be withheld or redacted.
Examples may include:
• Student education records and personally identifiable student information
• Certain employee personal information
• Medical or health-related information
• Security system information
• Certain active or confidential investigative records
• Attorney-client privileged communications and attorney work product
• Social Security numbers and other protected identifying information
When only part of a record is confidential or exempt, the District will provide the remainder of the record when possible.
Some requests may involve fees based on the format and volume of the records and the staff or technology resources required to locate, review, redact, and prepare them.
Copy charges are:
• One-sided copies up to 8.5" × 14": $0.15 per page
• Two-sided copies up to 8.5" × 14": $0.20 per page
Florida law also permits a reasonable special service charge when a request requires extensive use of District staff or information technology resources.
When charges are anticipated, the requester will receive an estimate before the District proceeds with chargeable work. Payment of an invoice or good-faith deposit may be required before records are released.
If additional information is needed to identify the records, or if payment or a deposit is required, the District will contact the requester.
A request may be closed if the requester does not respond to a clarification request or does not pay a required invoice or deposit within 30 days.
A closed request may be submitted again and will be processed as a new request.
