JOB GOAL

Responsible for providing support for the department in one or more areas, including accounting, grants, capital projects, property control, budget, after school enrichment programs, accounts payable and payroll; and providing customer service to district and school employees while observing all fiscal procedures and audit controls

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Perform varied, complex accounting and data-entry activities related to accounting, grants, capital projects, property control, budget, after school enrichment programs, accounts payable and payroll, in accordance with established principles and procedures while maintaining confidentiality.
  2. Provide guidance to support staff and assist employees by resolving finance related issues and ensuring established policies and procedures are followed consistently throughout the District.
  3. Prepare journal entries and maintain applicable ledgers, including various project ledgers.
  4. Collect, input, and review related finance and/or accounting records, and compile related reports.
  5. Compile and verify accuracy of data, such as payroll data, general ledgers, accounts payable, special project reports, etc.
  6. Update and maintain required documentation for various accounting and finance activities, including operational procedures.
  7. Prepare schedules or reports for departments as needed.
  8. Provide customer service to school and district employees; investigate, document, and respond to inquiries; and clarify policies and procedures.
  9. Assist with problem resolution and strategies in functional area.
  10. Perform additional duties specific to area(s) of assignment:
    • Reconcile bank statements.
    • Managing vendor statement of accounts and coordinating with vendors through verbal and written communication.
    • Perform payroll activities, including but not limited to, entering payroll data into computer system, auditing edit reports for data entry accuracy, and responding to and resolving questions regarding employee pay and leaves.
    • Managing customer accounts and providing customer service.
  11. Act as a liaison between district departments and schools, and coordinate functions with other areas within the department.
  12. Organize activities and coordinate workflow to meet deadlines.
  13. Provide backup within the department as needed.
  14. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Working knowledge of financial procedures, policies, and regulations
  • Advanced knowledge of spreadsheets and other financial software programs
  • Exhibit effective financial and mathematical computation skills
  • Ability to maintain confidentiality regarding records, information, and District financial documents
  • Ability to work independently and organize, prioritize, manage, and carry out duties efficiently and to completion under strict deadlines and established timeframes
  • Operating knowledge of computer programs, including email, word processing, spreadsheets, and databases
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Excellent time management skills and ability to organize, prioritize, manage, and carry out duties efficiently and within established timeframes
  • Ability to establish and maintain collaborative working relationships with all stakeholders

EDUCATION, TRAINING & EXPERIENCE

  • Associate Degree in Accounting, Business, or related field from an accredited institution
  • One or more years of demonstrated experience in Accounting, Bookkeeping, Auditing, or related financial activity position
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

CERTIFICATES, LICENSES & REGISTRATIONS

None

PREFERRED QUALIFICATIONS

  • Two or more years of previous experience in a similar position in government accounting
  • Advanced skill level of Microsoft Office and Excel, to include but not limited to, pivot tables, VLOOKUP’s, and formulas

PHYSICAL REQUIREMENTS

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently. If the use of arm and/or leg controls require exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated as light work.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

General office equipment, including personal computers, fax machines, copiers, telephones, etc.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
